Planning a Team Building Event

Have you been asked to plan a Team Building Activity? Are you maybe a little stuck and not sure where to start! Not to worry! To help guide you through the process, we’ve put together 10 steps to ensure you plan the most successful Team Experience possible! That being said, don’t feel like you have to follow these steps to a T! You can use these steps in whatever order works best for you. After all, each Team Event is different! Do what works best for you and your team.

1. Who is Interested?

The first thing you should start with is gauge who might be interested and what they’re interested in. Would your colleagues be up for a whole day of Team Building? Or maybe just half a day? Do you know what type of activity they’d like to do? Maybe something food and beverage based for a more relaxed environment, or perhaps something sporty and competitive? The best thing you can do is speak to your colleagues and see what they might like! After all, it’s important everyone enjoys themselves!

2. Determine your Timeline

How else could you plan a Team Building Day without a timeline? Timelines help you keep track of where you are in the process. They will also give an idea of how long the process will take. Although they don’t sound like the most fun part of planning a Team Activity, it is one of the most important! So make sure you don’t skip this step! After all, you don’t want to be still planning only to find that the date you wanted to hold your event on has been and gone, do you?

3. Who is your Planning Team?

This is truly dependent on the size of the team and your resources. Is it just going to be you planning? Or do you maybe need an extra set of hands to do some research for you so that you can do the enquiries and bookings. Maybe you even just need someone to make sure you’re on track! Whatever works best for you and your team is what you should do! As long as you don’t feel too overwhelmed, that’s the main thing!

4. Determine your Budget

Budget is a tricky, but essential one. After all, how can you plan a Team Building Event without a budget? You’ll want to make sure you know how much you can afford per person. The last thing you would want is to book an event only to discover you don’t have the budget to afford it! When planning the budget, make sure you also think about added extras, as quite often, the prices shown are the base prices. You may want to add a little something extra to give your team a really great day!

5. Collate the Guest List

Usually you can tell by the budget how many people you can invite to your team day. Often, the budget is also set based on the guest list, so Step 4 and 5 are interchangeable! Are you looking for a big team event? Or maybe you’re just looking for the sales team or the marketing team to get together? If you can, think about holding an inter-departmental event! After all, empowering your colleagues to collaborate can lead to huge success for your business!

6. Set your Goals

What do you want to gain from this Team Bonding Experience? Are you hoping to increase communication? Or are you perhaps looking to showcase your team’s skills that other members may not know they had! Overall, understanding what you want to gain from the experience and what your goals are will help you select the right activities. If you keep your goals at the heart of your planning, you’ll be guaranteed to have a successful event!

7. Select the Activities

8. Select a Location

Now that you know who’s going and what activities you’d like to do, it’s time to select the location! Do you want to hold the event at your office? Or do you perhaps have a venue in mind? Or do you maybe plan on travelling to a whole new location for your Team Bonding Day? If so, make sure you let everyone know in advance and add travel expenses to your budget!

9. Send the Invitations

With everything now booked and sorted, it’s time to send the invitations! You wouldn’t want to have organised everything only to forget to invite everyone, would you? So, although this doesn’t seem like an important step, it’s one of the most essential ones!

10. Amend the Details

Once you’ve sent the invitations, don’t be surprised if you find that some people aren’t able to join on the date you set, or simply can’t go! Here, it is essential to remember that you must amend your booking! If there are any changes to your booking at all, make sure you let your booking agent know, as they may need to make amendments on their end too! After all, you wouldn’t want to turn up to the event only to find that they’re not able to run it with less people, do you?
